About the Job
Looking to join a dynamic and international work environment within the EU affairs sector in Brussels? We are seeking a versatile Office & IT Administrative Assistant to ensure smooth daily operations and provide high-level support to our professional teams. This role offers an excellent opportunity to learn and expand your skills in both office management and IT administration.
Responsibilities and Shared Tasks
- Office Operations: Managing incoming mail (collection and distribution), handling office access badges, and liaising with external vendors to ensure a seamless workplace experience.
- Administrative Support: Providing general support to various internal departments, including HR, Finance, and IT.
- IT Inventory & Support: Maintaining the inventory of IT equipment (laptops, monitors, phones, printers) and offering basic administrative IT support to staff members.
- Facilities & Catering: Preparing meeting rooms (checking equipment and supplies), coordinating catering orders with high-quality providers, and managing the maintenance of coffee machines and water dispensers.
- Team Coordination: Acting as a bridge between internal teams and external service providers to ensure all office processes run efficiently.
Your Profile
- Experience: Previous experience in office management, administration, or a similar support function.
- Languages: Fluency in English is required; a good knowledge of French or Dutch is a strong asset.
- IT Skills: Good command of standard office tools; a basic understanding of IT systems and hardware is a definite plus.
- Organisational Skills: Capable of handling multiple responsibilities efficiently and meeting deadlines with a strong attention to detail.
- Proactivity: A "can-do" mindset with the ability to anticipate needs and address issues before they arise.
- Communication: Ability to communicate clearly and professionally with both internal stakeholders and external partners.
